Effective September 9, 2026. TrailPass is operated by AxleIQ LLC. This policy covers gettrailpass.com, the organizer portal, and TrailPass apps. Features and the information they use vary by platform and by the event tools you choose.
Information you provide
- Accounts: organizer name, email address, organization, access role, and authentication identifiers. Firebase handles password authentication. Attendee participation can use an anonymous account identifier and display name.
- Events and participation: event details, schedules, locations, membership, organizer updates, and information submitted through enabled vendor, sponsor, volunteer, performer, or staff forms.
- Optional content: where available, messages, group information, photos, and other content you choose to submit. Information made public or shared with an event or group can be seen by that audience.
- Payments and support: license and transaction identifiers, amounts, status, and information you send when requesting help. Stripe processes card details; do not send card numbers to TrailPass support.
Android attendee app
Joining an event creates an anonymous Firebase identity and sends the display name, event membership, role, and timestamps to cloud services. A custom display name is optional. Organizers and authorized staff can access attendee information for their event.
Notifications are optional. Choosing Enable notifications registers a device messaging identifier for event updates, subject to Android notification permission. Turning off system notifications prevents alerts but does not erase an existing identifier. The Delete attendee data action requests deletion of that token.
Saved events and preferences are kept on the device. The Android app disables Android cloud backup and device transfer for its data. This Android version does not request location or camera access and does not offer attendee payments, chat posting, or photo uploads.
Maps, photos, and other optional tools
On supported platforms, location permission allows map and nearby-place features to use your location. Place searches may send search text and a location bias to the mapping provider. Event addresses and map points you save are stored with the event. Photo and camera features use the content you select or capture; uploaded content is stored for the audience of the chosen event feature. You can manage device permissions in system settings. These features are not all available in the Android attendee version.
Technical information and storage
Our hosting, authentication, database, storage, and messaging providers process technical information such as IP addresses, app or browser details, request logs, installation identifiers, and device messaging tokens as needed for their services. The website uses browser storage for sign-in, preferences, selected events, and checkout recovery. Apps may cache event information and preferences locally.
Why we use information
We use information to operate accounts and events, provide selected features, deliver updates, process licenses, respond to requests, troubleshoot errors, prevent abuse, and comply with legal obligations.
Who receives information
Service providers include Google Firebase for authentication, cloud data, storage and messaging; Cloudflare for website and API delivery; Stripe for payments; and Apple or Google services used for supported maps and device notifications. Information is also shared with the organizer, authorized staff, or other audience of the event feature you use. External links and payment or ticketing services have their own privacy policies.
We do not sell personal information or use it for third-party behavioral advertising. We may disclose information when required by law, to protect the service or people, or as part of a business transfer subject to applicable protections.
Retention
We retain account and event information while needed to provide the service, unless you request deletion. We may retain limited transaction, security, dispute, or legal records when required for those purposes. A retention exception does not mean keeping all of your account data. We explain applicable exceptions when responding to a deletion request. Provider backups and operational logs may expire on separate retention schedules. Organizers may hold independent copies of information they received.
Your choices and deletion
For deletion steps and an external request route, visit Delete TrailPass account and data. Android users can use Settings → Delete attendee data. Removing the app alone does not delete cloud records.
For access, correction, or other privacy requests, email support@gettrailpass.com. We may ask for limited information to verify ownership. Depending on your location, you may have additional rights under applicable law. We respond within the period required by applicable law.
Age and organizer responsibilities
TrailPass is intended for people aged 13 and older. Users under 18 should use it with a parent or guardian's permission. Children under 13 should not create accounts or submit personal information. Contact support if you believe a child has provided information. Organizers are responsible for appropriate notices and permissions for information they collect, including at family-oriented events.
Security, international processing, and changes
We use authenticated access and encrypted network connections to help protect information, but no system can guarantee complete security. TrailPass is operated from the United States, and providers may process data in other countries. We update this policy when practices change and provide additional notice when required.
